Desktop App
Recommended Settings
Call Rules and Voicemail
To reach these settings:
Log into your account
Go to settings
Click your name in the upper left
Go to phone
Under the Phone dropdown menu, the Call Rules and Voicemail section includes the option to forward your calls to another RingCentral user, A place to turn on DND, and where you set up your working hours for calls only.
Click on my workday.
Set up Work hours however you like for when you will receive notifications.
Incoming Call Information
Go back to phone.
Click incoming call information
Set incoming number to dialed number
Here you can set the number seen, recommended to be Dialed Number. You can also set up an announcement that will play for anyone who calls you before the call goes through.
Voicemail
Go back to phone.
Scroll down to voicemail
Ensure voicemail to text is turned on (selected blue)
You can select voicemail greeting here to create your custom voicemail if desired
Here are the voicemail settings where you can set up your voicemail greeting, a voicemail PIN, a shared voicemail box, and a voicemail-to-text feature.
Notifications
On the left of your screen, click notifications.
Click messaging notifications.
Select what notifications you would like to receive and how.
Other Setup
Text Automator
Using the automation link above, you’ll find RingCentral’s Text Automator. After clicking on New Automation, your screen will look like this:
We recommend setting up the After-hours SMS auto-reply so that you can separate work and home more effectively.
Salesforce Integration
Phone Calls
After receiving a phone call on the Salesforce integration, the app will look like this:
After choosing the contact you want to relate the call to, you can press the save button, and the record will be saved on the contact
Text Messages
Similarly, SMS messaging has an area to find contacts and a button to log the messages.
Record in Salesforce
The record will appear under the Activity tab looking like this:
Additional Features
Sending Mass Text Messages: To learn more about how to send mass text messages, follow the instructions in here.

Setting up out-of-office text messages: log into the Automator through this link or the link above. Select New Automation, then select the type of message you want to send. After you select the message, follow the screen prompts. For more information on automaton, click here.
