External Reporting Process

This document outlines the process of creating records and generating reports to aid in upload of data into external system(s), e.g. WIPS, as well as outlines the specific limits to what the system will scalably accomplish.

IMPORTANT NOTES:

  • Data conversion templates for the following federal grants are in the specified states

    • YARG

    • ABA

    • Opportunity Now (Coming Soon!)

    • ETA Community Projects (Coming Soon!)

 Instructions(& Requirements)

Below are the high-level steps to go from “data-in-the-system” to “data-ready-for-external-upload”

  1. Create a Reporting Header record

    1. User(s) must have the additional permissions access to utilize this feature

    2. There must be Reporting Grant record(s) to tie the header record to (see “Create a Reporting Header“ link below)

      1. Additionally, Apprenticeship records must be linked to the Reporting Grant you wish to report on (see this link Manage Registered Apprenticeships Under Grants for more details)

  2. Add records to and review the data of participants to ensure accuracy

    1. User(s) doing this step must have the knowledge to ensure accuracy

  3. Create and export a Report for the specified reporting window

    1. User(s) must have access to clone existing report templates or the knowledge to format reports created not from a template

    2. User(s) must have the ability to export reports

  4. Leverage personal ability, the internet, and/or one of our template starters to convert & format exported data to fit requirements of external system
